Time tracking for oil and energy crews
Crews clock in on their phone at the lease or the yard. The miles they drive between sites are saved with their hours. Well data and production numbers stay in your production system.

How an oil and energy crew uses it
Where each person clocked in
Each lease is saved as a work location
When a crew clocks in at the yard, you can’t tell which lease they actually worked that day.
Save each lease as a work location. When someone clocks in, TimeOff Manager saves their GPS location, so you can see where they were.
Leases and pads saved as work locations
Clock-ins have to happen on the pad
A remote pad can sit miles down a county road. A clock-in from the road doesn’t mean the crew reached the pad.
Set a geofence around the pad. The crew can only clock in once they are inside the area you drew.
Every crew’s miles for the week
Miles between sites are logged with the hours
Drive time between sites causes the most arguments when the week’s hours are added up on Friday.
Crews log the miles they drive between sites in the same app they clock in with, so the miles sit next to their hours.
Who is on shift, from your phone
See who is still out in the field
Too often, you only find out a crew is still out when it gets dark.
The live staff map shows everyone who is clocked in right now. GPS history is a separate screen that shows where each person clocked in.
Who is off this month
Time off during a busy week
Someone takes a day off in the middle of a busy week, and the only record is a phone call nobody wrote down.
They request the day off in the app. Once a manager approves it, the day shows on the team calendar for everyone to see.
Approved hours, ready for payroll
TimeOff Manager tracks hours. It doesn’t pay anyone. At the end of the pay period, a manager reviews and approves the hours. Then you download them as an Excel or CSV file and send it to whoever runs payroll: your bookkeeper, your accountant, or your payroll software.
-
Hours are approved first
A manager checks the hours before they go anywhere, so payroll gets real numbers, not guesses from a group text.
-
Overtime is flagged
Extra hours show up on the timesheet, so you can see overtime before you pay it.
-
Excel or CSV
One download your bookkeeper or payroll software can open.
-
Payroll happens elsewhere
TimeOff Manager does not calculate pay, print checks, or file taxes.

Hours go to payroll
Download the approved hours as a file. Run tickets and production numbers stay in your other systems.
This is not SCADA or field ticket software
TimeOff Manager does not read wells, store run tickets, or handle production accounting. It tracks hours, time off, mileage, and where each person clocked in.
Also see time tracking software, TimeOff Kiosk, PTO software, and pricing.
Approved time off can sync to Google Calendar and Microsoft Outlook. Approved hours can go to QuickBooks Online or FreshBooks.
You can also ask ChatGPT, Claude, or Cursor questions about your account, like who is out next week, through Model Context Protocol.

Common questions from oil and energy crews
Our leases are remote. Will the GPS location still save?
Yes, as long as the phone can get a location when the person clocks in.
Can we keep the yard and each lease separate?
Yes. Save the yard and each lease as its own work location.
Does it handle on-call days?
On-call workers can clock in when they work, and they can request time off. TimeOff Manager does not set up the on-call rotation for you.
How much does it cost?
From $15/mo billed annually after a 14-day trial. Starter is $15/mo for 1–20 people, Growth is $25/mo for 21–50, and Scale is $49.99/mo for larger teams.
