Time tracking for landscaping crews

Your crew clocks in on their phone when they reach the lawn, not back at the shop. A quick face check shows who actually started. Hours are tied to that property, and the drive between lawns is logged in the same account.

From $15/mo billed annually. Starter $15/mo · Growth $25/mo · Scale $49.99/mo.

How a landscaping company uses it

TimeOff Manager Pro Time screen with a face-check clock-in for a landscaping crew at the lawn

Face check when clocking in at the lawn

The person on the timesheet is the person at the lawn

When the crew shares one phone at the shop, the lead can clock everyone in before anyone gets to the property.

Each person clocks in on TimeOff Manager Pro, and the app asks for a quick face check. The GPS location is saved with that clock-in, so you can see it happened at the lawn and not just at the yard.

Hours for each property

Hours from a commercial contract and a home lawn end up in one pile. By Friday, nobody can say which property the hours belong to.

Save each property as a work location. Each clock-in is tied to that address, so you can split the week’s hours by property. This tracks hours per property. It does not put a price on the contract.

Where the crew clocked in at the lawn

Make sure they clock in on the property

Someone can clock in from the truck parked on the street, and it still looks like they were on the lawn.

If you want, turn on a geofence around that property. The app then only lets them clock in when they are inside that area.

You have to call the foreman to find out which crew made it to the campus.

The live staff map shows who is on shift right now, for people who agreed to share their location. This map is separate from the GPS location saved when they clocked in.

My Mileage screen listing trips a landscaping crew drove between properties

Miles driven between lawns

Log the drive between lawns

On Friday, the miles between the first property and the last are a pile of guesses from the odometer.

Crews log each trip in the same account as their hours. Mileage is a record of the drive. It does not plan a route.

Team calendar of seasonal time off for a landscaping crew

Seasonal time off on the team calendar

Winter time off next to summer hours

Slow-season time off is often kept in a spreadsheet the foreman never opens, so a layoff week looks like missing hours.

Time-off requests, balances, and the team calendar sit right next to the hours. US and Canadian public holidays are already loaded.

Approved hours, ready for your payroll software

Your bookkeeper should not have to retype a week of lawns. A manager approves the hours, sees any overtime on the timesheet, and downloads an Excel or CSV file. TimeOff Manager does not calculate pay, write quotes, or run payroll.

  • Hours are approved first

A manager reviews the week before anything goes out. The file has the approved hours, not a text thread from the foreman.

  • Overtime is flagged

Hours past the schedule show up on the timesheet, so you can see them. TimeOff Manager does not turn them into a paycheck.

  • Excel or CSV

Send the file to the payroll software you already use. The hours for each property stay saved in TimeOff Manager after you download them.

  • Payroll happens elsewhere

TimeOff Manager does not print checks, file taxes, or calculate pay. The lawn hours leave as a file.

A typical day

  1. 1

The crew arrives at the property

The crew opens TimeOff Manager Pro at the lawn and clocks in. The GPS location is saved with that clock-in.

  2. 2

A face check shows who started

The face check records who clocked in. If they started at the yard first, that clock-in is saved under the yard as its own work location.

  3. 3

    You check the live map

During the shift, you open the live staff map to see who is still working. That map is separate from the GPS location saved at clock-in.

  4. 4

Friday: send hours or approve time off

Download the week’s hours for payroll, or approve a seasonal time-off request before the winter layoff.

This is not a quoting or routing product

TimeOff Manager does not write estimates, plan the fastest drive between lawns, or bill the property owner. It records hours, time off, mileage, and where each person clocked in.

Common questions from landscapers

Can the crew clock in at the property instead of the shop?

Yes. Add each property as a work location, and add a geofence if you want one. The clock-in saves the GPS location at the lawn, not just at the yard.

Does TimeOff Manager plan routes or write quotes?

No. It tracks hours, time off, mileage, and where people clocked in. It does not plan routes, write estimates, or send invoices to customers.

Can we track the drive between lawns?

Yes. Crews log their mileage between properties in the same account as their hours, and you download hours and mileage together. The live staff map is a separate screen from the GPS saved at clock-in.
