Time tracking for farm and ag crews

Your crew clocks in at the field or the barn, where the day really starts, not on a spreadsheet back at the house. Seasonal hours and time off are kept in the same app.

From $15/mo billed annually. Starter $15/mo · Growth $25/mo · Scale $49.99/mo.

How a farm uses it

Fields and the barn saved as work locations

Save each field and barn as its own place

If everyone clocks in at the house, you can’t tell which field or parcel they actually worked.

Save each field and the barn as separate work locations. When someone clocks in, TimeOff Manager saves their GPS location.

Where each person clocked in

Make sure clock-ins happen at the yard

Someone can clock in from the county road on the way to work.

You can turn on a geofence, which is a boundary around the yard or a field you saved. Clock-ins then have to happen inside it.

Mileage trips from the crew

Log miles driven between fields

Time in the truck between fields usually ends up as a guess on Friday.

Workers log those drives in the same app where they track their hours, and a manager approves the trips.

See who is still out in the fields

To find out who is still in the north field, you have to call around.

The live staff map shows everyone who is on shift right now and has agreed to share their location.

Seasonal time off, next to harvest hours

Winter time off is often written in a notebook that only one person checks.

Workers request time off in the app. Their requests and remaining balances sit right next to their hours.

Approved hours, ready for payroll

TimeOff Manager tracks hours. It doesn’t pay anyone. At the end of the pay period, a manager reviews and approves the hours. Then you download them as an Excel or CSV file and send it to whoever runs payroll: your bookkeeper, your accountant, or your payroll software.

  • Hours are approved first

A manager checks the hours before they go anywhere, so payroll gets real numbers, not guesses from a group text.

  • Overtime is flagged

Extra hours show up on the timesheet, so you can see overtime before you pay it.

  • Excel or CSV

One download your bookkeeper or payroll software can open.

  • Payroll happens elsewhere

TimeOff Manager does not calculate pay, print checks, or file taxes.

A typical day on the farm

  1. 1

The crew arrives at the field

Everyone clocks in at that field on their phone. Their GPS location is saved with the clock-in.

  2. 2

    Check who is still out

Open the live staff map to see who is on shift. This is a different screen from the GPS saved at clock-in.

  3. 3

    Move to the next field

If you saved the next field as its own work location, the crew clocks in there.

  4. 4

    Friday: hours and time off

Download the hours for the bookkeeper, or approve seasonal time off before the slow months.

This is not yield or equipment software

TimeOff Manager does not track yield, grain, livestock, or equipment maintenance. It tracks hours, time off, mileage, and where your crew clocked in.

Common questions from farms

Can seasonal workers clock in at the field?

Yes, as long as you add them as employees in the app. Then add each field or barn as a work location.

Can we keep different parcels separate?

Yes. Each parcel can be its own work location. GPS is saved when someone clocks in, and you can add a geofence if you want one.

Does it track miles between fields?

Yes. Mileage is tracked in the same app as hours. The live staff map, which shows who is on shift, is a separate screen.

How much does it cost?

From $15/mo billed annually after a 14-day trial. Starter is $15/mo for 1–20 people, Growth is $25/mo for 21–50, and Scale is $49.99/mo for larger teams.
