How contractors use it for the crew and the office
Each job saved as a work location
Save each job as a place
Every trade writes down the day on a different sheet.
Each job is saved as a work location. When someone clocks in, their GPS location is saved.
Where each person clocked in
Use a geofence when the general contractor wants proof
A clock-in from the parking lot doesn’t prove the crew was in the building.
Turn on a geofence for that job. It is a boundary around the site, and clock-ins have to happen inside it.
Who is off, in the office and the field
Office time off on the same calendar
The estimator takes a day off and the crew doesn’t know.
Office staff request time off in the same app. Once it is approved, it shows on the shared team calendar.
Mileage trips from crew leads
Log mileage when a lead drives between jobs
The drive to the afternoon job never shows up anywhere.
Leads log their miles in the same app as their hours, and you approve the trips.
Who is on shift right now
See who is on which job
You call three crew leads just to figure out where everyone is.
The live staff map shows who is on shift right now. GPS history shows where each person clocked in.
Approved hours, ready for payroll
TimeOff Manager tracks hours. It doesn’t pay anyone. At the end of the pay period, a manager reviews and approves the hours. Then you download them as an Excel or CSV file and send it to whoever runs payroll: your bookkeeper, your accountant, or your payroll software.
-
Hours are approved first
A manager checks the hours before they go anywhere, so payroll gets real numbers, not guesses from a group text.
-
Overtime is flagged
Extra hours show up on the timesheet, so you can see overtime before you pay it.
-
Excel or CSV
One download your bookkeeper or payroll software can open.
-
Payroll happens elsewhere
TimeOff Manager does not calculate pay, print checks, or file taxes.

A typical day
-
1
The crew clocks in
Each person clocks in on their phone at the job. Their GPS location is saved.
-
2
Office staff request time off
Their requests go on the same calendar, not in a separate tool.
-
3
You check the map
See who is still clocked in. This is separate from the GPS saved at clock-in.

Friday: download the hours
Download one file of hours. Bids and job costs stay in your other software.
This is not bids, lien waivers, or job cost tracking
TimeOff Manager does not write bids, track job costs, or produce lien waivers. It tracks employee hours, time off, mileage, and where your crew clocked in.
Also see time tracking software, TimeOff Kiosk, PTO software, and pricing.
Approved time off can sync to Google Calendar and Microsoft Outlook. Approved hours can go to QuickBooks Online or FreshBooks.
You can also ask ChatGPT, Claude, or Cursor questions about your account, like who is out next week, through Model Context Protocol.

Common questions from contractors
Can office staff and field crews share one account?
Yes. Office staff use it to request time off. Field crews also clock in at the job. Everyone is an employee in the same company account.
What about subcontractors?
Only people you add as employees can clock in. A subcontractor who isn’t on your team list won’t clock in here.
Can one person work two jobs in a day?
Yes. Save each job as a work location, and they clock in at each one.
How much does it cost?
From $15/mo billed annually after a 14-day trial. Starter is $15/mo for 1–20 people, Growth is $25/mo for 21–50, and Scale is $49.99/mo for larger teams.
