Time tracking for delivery routes

Drivers clock in on their phone at the depot or at a stop you saved. TimeOff Manager records the clock-in and the miles driven. It does not plan the route.

From $15/mo billed annually. Starter $15/mo · Growth $25/mo · Scale $49.99/mo.

Depots and stops, without route planning

Clocking in at the depot

Clock in at the depot before the first stop

A route sheet doesn’t show when the driver’s day actually started.

Drivers clock in at the depot, which you save as a work location. The GPS location is saved with the clock-in.

A customer dock saved as a work location

Require the clock-in at a customer’s dock

Some customers want proof that the driver was at their dock.

Add that dock as a work location with a geofence, so the driver has to be there to clock in.

Which drivers are still out

See who hasn’t clocked out yet

You find out a driver is still out when they call you at 7 o’clock.

The live staff map shows who is on shift right now, for people who agreed to share their location. The GPS saved at clock-in is stored separately.

Personal miles and route miles get mixed together.

Drivers log each trip, and you download the trips with the hours.

Who is off tomorrow

Right now, a 6 a.m. call-out is how you find out a driver is off.

Approved time off is on the team calendar the day before.

Approved hours, ready for payroll

TimeOff Manager tracks hours. It doesn’t pay anyone. At the end of the pay period, a manager reviews and approves the hours. Then you download them as an Excel or CSV file and send it to whoever runs payroll: your bookkeeper, your accountant, or your payroll software.

  • Hours are approved first

A manager checks the hours before they go anywhere, so payroll gets real numbers, not guesses from a group text.

  • Overtime is flagged

Extra hours show up on the timesheet, so you can see overtime before you pay it.

  • Excel or CSV

One download your bookkeeper or payroll software can open.

  • Payroll happens elsewhere

TimeOff Manager does not calculate pay, print checks, or file taxes.

A typical day

  1. 1

The driver arrives at the depot

The driver clocks in before loading the van. The GPS location is saved with the clock-in.

  2. 2

They clock in at a required dock

If that customer’s dock is a work location with a geofence, the driver has to be there to clock in.

  3. 3

    You check the live map

See who is still clocked in. This is not a live trail of the van, and it is not the GPS saved at clock-in.

  4. 4

    Friday: download the hours

Download the hours and mileage. If you use a route app, it still handles the stops.

It doesn’t plan or optimize routes

TimeOff Manager does not put stops in order, text customers an arrival time, or record proof of delivery. It records clock-ins, time off, and miles.

Approved time off can sync to Google Calendar and Microsoft Outlook. Approved hours can go to QuickBooks Online or FreshBooks.

Common questions from delivery companies

Will this build delivery routes?

No. It does not put stops in order. It records when someone clocked in and, if you saved the dock as a work location, whether they clocked in there.

Can a customer’s dock require a geofenced clock-in?

Yes. Add the dock as a work location and turn on a geofence.

Is the live map a vehicle tracker?

No. It shows people who are clocked in and have agreed to share their location. The GPS saved when they clock in is a separate record.

How much does it cost?

From $15/mo billed annually after a 14-day trial. Starter is $15/mo, Growth is $25/mo, and Scale is $49.99/mo.
