Time tracking for engineering field teams

Time off for the office and clock-ins for site visits are kept in one app. TimeOff Manager is not a design tool.

From $15/mo billed annually. Starter $15/mo · Growth $25/mo · Scale $49.99/mo.

How an engineering team uses it

Leave summary of days off for engineering staff

Days off taken and days left

Time off for office staff

Field days and vacation days get mixed up in email.

Staff request time off in the app. Everyone’s balance is tracked, and approved days off show on the shared team calendar.

GPS history of an engineer clocking in at a site visit

Where each site visit started

Clock in on site visits

The timesheet says someone was out of the office, but not where they went.

They clock in at the site you saved, and their GPS location is saved at that moment.

Mileage trips for the team

Log miles to the site

The drive to the site ends up on a separate expense form.

Staff log the drive right next to their hours, and a manager approves the trip.

Live staff map on a phone showing engineers out on site

The live map on your phone

A live map only while staff are out

You don’t need a map of people sitting in the office.

The live staff map shows only the people who are on shift and have agreed to share their location.

Employee list for an engineering firm

Hourly and salaried staff in one list

Hourly field staff and salaried office staff

One spreadsheet can’t handle both hourly and salaried people.

Hourly staff clock in and out. Salaried staff use the app just for time off. Everyone is in the same company account.

Approved hours, ready for payroll

TimeOff Manager tracks hours. It doesn’t pay anyone. At the end of the pay period, a manager reviews and approves the hours. Then you download them as an Excel or CSV file and send it to whoever runs payroll: your bookkeeper, your accountant, or your payroll software.

  • Hours are approved first

A manager checks the hours before they go anywhere, so payroll gets real numbers, not guesses from a group text.

  • Overtime is flagged

Extra hours show up on the timesheet, so you can see overtime before you pay it.

  • Excel or CSV

One download your bookkeeper or payroll software can open.

  • Payroll happens elsewhere

TimeOff Manager does not calculate pay, print checks, or file taxes.

A typical site-visit day

  1. 1

    Check the calendar

See who is already off before you send someone out to a site.

  2. 2

    Clock in at the site

Their GPS location is saved for that visit.

  3. 3

    Log the drive

The mileage is saved next to their hours.

  4. 4

    Download the hours

Hours go out as a file. Drawings stay in your design tools.

This is not CAD or project accounting

TimeOff Manager does not store drawings, track project costs, or bill clients. It tracks time off, site clock-ins, mileage, and hours you can download.

Common questions from engineering firms

We are mostly salaried. Do we still have to clock in?

Only if you want to track hours. Salaried staff can use the app just for time off. Site visits can still be a clock-in.

Can a site visit save a GPS location?

Yes. Save the site as a work location, and staff clock in there.

Are the live map and the clock-in GPS the same thing?

No. GPS is saved at the moment someone clocks in. The live staff map shows who is on shift right now.

How much does it cost?

From $15/mo billed annually after a 14-day trial. Starter is $15/mo for 1–20 people, Growth is $25/mo for 21–50, and Scale is $49.99/mo for larger teams.
