Time tracking for security guard companies

Guards clock in at their post, or on a tablet in the lobby. Relief days and hour downloads are in the same account. Guard tour wands are not part of it.

From $15/mo billed annually. Starter $15/mo · Growth $25/mo · Scale $49.99/mo.

Posts and relief days, without a guard tour system

A tablet in the lobby at the post

The guard going off shift should not be able to clock in the guard coming on.

Each guard has a personal PIN on TimeOff Kiosk, so every guard has to clock in for themselves.

Some posts are a parking lot, not a desk.

Guards clock in on TimeOff Manager Pro, which saves the GPS location. You can add a geofence around that post’s work location.

Which guards are on shift

You find out a post is empty when the client calls.

The live staff map shows guards who are on shift right now and agreed to share their location.

Approve a relief day

Approve relief days before the schedule falls apart

A vacation request shows up the morning of the shift.

Guards request time off, and managers approve it in the same account as the hours.

Schedules for each post

The week’s schedule is a spreadsheet the supervisor keeps at home.

Approved hours, ready for payroll

TimeOff Manager tracks hours. It doesn’t pay anyone. At the end of the pay period, a manager reviews and approves the hours. Then you download them as an Excel or CSV file and send it to whoever runs payroll: your bookkeeper, your accountant, or your payroll software.

  • Hours are approved first

A manager checks the hours before they go anywhere, so payroll gets real numbers, not guesses from a group text.

  • Overtime is flagged

Extra hours show up on the timesheet, so you can see overtime before you pay it.

  • Excel or CSV

One download your bookkeeper or payroll software can open.

  • Payroll happens elsewhere

TimeOff Manager does not calculate pay, print checks, or file taxes.

A typical day

  1. 1

The guard arrives at the post

The guard uses the PIN pad in the lobby, or their phone at that work location.

  2. 2

    They clock in

The kiosk records the PIN. A phone clock-in can save the GPS location and check the geofence.

  3. 3

    You check the live map

See who is still clocked in. This is not a guard tour, and it is not clock-in history.

  4. 4

Approve a relief day or download the hours

Approve a relief day, or download the week’s hours on Friday. Incident reports stay in your other system.

This is not a tour or incident product

TimeOff Manager does not scan tour checkpoints, write incident reports, or replace a guard tour system. It records hours at each post, time off, and hours you can download.

Also see time tracking software, TimeOff Kiosk, PTO software, and pricing.

Approved time off can sync to Google Calendar and Microsoft Outlook. Approved hours can go to QuickBooks Online or FreshBooks.

Common questions from security companies

Can guards clock in at their assigned post?

Yes. Use the kiosk tablet in the lobby, or have guards clock in on their phone at the work location you saved for that post.

Does it replace a guard tour wand?

No. There are no checkpoint scans and no tour path. It tracks attendance, time off, and hours.

Is the live map a replay of the guard’s tour?

No. The live staff map shows who is on shift right now. The GPS saved at clock-in is a separate location. Neither one is a tour.

How much does it cost?

From $15/mo billed annually after a 14-day trial. Starter is $15/mo, Growth is $25/mo, and Scale is $49.99/mo.
