How a school tracks staff time
Hourly staff hours for the week
Hourly staff clock in on a tablet in the office
Facilities and front office staff should not share a paper sign-in sheet.
Employees clock in and out on the tablet kiosk with their own PIN.
Staff requests and their status
Time off around winter and spring break
Who gets those weeks off gets worked out in long email threads.
Staff request time off in TimeOff Manager. Requests and the shared calendar show who is off.
Public holidays, already loaded
US and Canadian holidays are already loaded
Public holidays and teacher work days get mixed up.
US and Canadian public holidays are already in TimeOff Manager. You can hide a holiday if your school stays open that day.
Who covers the building
Schedules for facilities and after-school hourly staff
Building coverage gets sorted out by texting the custodian.
Employee schedules show who was expected to work, and when.
A work location for each building
Staff who work in more than one building clock in on their phone
With one clock-in for the whole campus, you can’t tell which building someone opened.
Save each building as a work location. Requiring GPS location when staff clock in on their phone is optional, and it is separate from the live map.
Approved hours, ready for payroll
TimeOff Manager tracks hours. It doesn’t pay anyone. At the end of the pay period, a manager reviews and approves the hours. Then you download them as an Excel or CSV file and send it to whoever runs payroll: your bookkeeper, your accountant, or your payroll software.
-
Hours are approved first
A manager checks the hours before they go anywhere, so payroll gets real numbers, not guesses from a group text.
-
Overtime is flagged
Extra hours show up on the timesheet, so you can see overtime before you pay it.
-
Excel or CSV
One download your bookkeeper or payroll software can open.
-
Payroll happens elsewhere
TimeOff Manager does not calculate pay, print checks, or file taxes.

Approved time off can sync to Google Calendar and Microsoft Outlook. Approved hours can go to QuickBooks Online or FreshBooks.
