How a clinic tracks staff time
Staff hours from the clinic door
A shared tablet at the staff door
A paper sign-in sheet is a privacy (HIPAA) risk, and it makes a poor timesheet.
Each staff member clocks in on the tablet kiosk with their own PIN. Patients do not use it.
Where someone clocked in
Staff who visit patients off site clock in on their phone
Employees who visit patients at home still need a way to clock in when they arrive.
When they clock in on their phone, GPS location can be saved. You can also save the site as a work location with a geofence.
Staff requests and their status
See staff time off before you plan the patient day
When two nurses are off on the same Monday, the day’s schedule falls apart.
The shared calendar shows approved staff time off, so you can check before you build the day.
Which staff are clocked in now
The live map shows staff, not patients
You may want to know which nurse is clocked in right now.
The live map shows employees who are clocked in and have agreed to share their location. It is separate from the GPS location saved when they clock in.
The shift on the phone
Track breaks on a long clinic day
Staff skip lunch on busy days, and later no one agrees on what happened.
You can turn on break tracking, so breaks are recorded with the hours.
Approved hours, ready for payroll
TimeOff Manager tracks hours. It doesn’t pay anyone. At the end of the pay period, a manager reviews and approves the hours. Then you download them as an Excel or CSV file and send it to whoever runs payroll: your bookkeeper, your accountant, or your payroll software.
-
Hours are approved first
A manager checks the hours before they go anywhere, so payroll gets real numbers, not guesses from a group text.
-
Overtime is flagged
Extra hours show up on the timesheet, so you can see overtime before you pay it.
-
Excel or CSV
One download your bookkeeper or payroll software can open.
-
Payroll happens elsewhere
TimeOff Manager does not calculate pay, print checks, or file taxes.

-
3
Check the calendar at midday
See which coworkers are off. The patient schedule stays in your EHR.
-

This is not an EHR or a visit verification system
TimeOff Manager does not store patient charts, schedule patient visits, or send electronic visit verification to payers. It tracks staff clock-ins, time off, and hours you can download for payroll.

Approved time off can sync to Google Calendar and Microsoft Outlook. Approved hours can go to QuickBooks Online or FreshBooks.
You can also ask ChatGPT, Claude, or Cursor questions about your account, like who is out next week, through Model Context Protocol.
