How a medical billing team uses it
Who is out this week
See who is out before the shift
Often nobody notices a biller is missing until the claims queue stops moving.
Approved time off shows on a shared team calendar, so you see it before the shift starts.
Who is scheduled each shift
Hourly staff clock in for each shift
The schedule and the hours people actually worked don’t match.
Hourly staff clock in and out, and employee schedules show who was expected to work.
Clocking in from home
Billers who work from home
Billers who work from home are often tracked on a different sheet.
They request time off in the app, and they can clock in on their phone if you track hours.
Days off left, on the phone
Each person’s balance is on their profile
When someone asks how many days they have left, HR opens a spreadsheet.
Each person’s leave balance is saved on their profile, so the answer is already there.
A shift on the phone
It only holds hours and time off
Staff need to know what belongs in TimeOff Manager: hours and time off only.
A clock-in is a record of time worked. It is not a chart, a claim, or a diagnosis.
Approved hours, ready for payroll
TimeOff Manager tracks hours. It doesn’t pay anyone. At the end of the pay period, a manager reviews and approves the hours. Then you download them as an Excel or CSV file and send it to whoever runs payroll: your bookkeeper, your accountant, or your payroll software.
-
Hours are approved first
A manager checks the hours before they go anywhere, so payroll gets real numbers, not guesses from a group text.
-
Overtime is flagged
Extra hours show up on the timesheet, so you can see overtime before you pay it.
-
Excel or CSV
One download your bookkeeper or payroll software can open.
-
Payroll happens elsewhere
TimeOff Manager does not calculate pay, print checks, or file taxes.

What it doesn’t do
TimeOff Manager is not claims software or an electronic health record (EHR). It does not submit claims, store charts, or hold patient records. It tracks staff time off, shift hours, and the hours you download for payroll.

Approved time off can sync to Google Calendar and Microsoft Outlook. Approved hours can go to QuickBooks Online or FreshBooks.
You can also ask ChatGPT, Claude, or Cursor questions about your account, like who is out next week, through Model Context Protocol.
