How an agency uses it

Team calendar of time off at an agency

Who is out during the shoot week

Approve time off before a shoot week

Two editors ask for the same Friday off, and both assume the answer is yes.

Every request is visible to the manager. Once it is approved, it shows on the team calendar.

GPS history of an agency employee’s clock-in

Where someone clocked in

Hourly producers and editors clock in on their phone

Freelancer invoices and employee hours get mixed together.

Employees clock in and out on their phone. GPS location can be saved when they clock in.

Live map of agency staff who are clocked in

Who is clocked in right now

A live map of who is working, if you need it

The group chat is the only way you find out someone is working remotely.

The live map shows employees who are clocked in right now and have agreed to share their location. It is separate from the GPS location saved when they clock in.

Employee schedules for agency front desk staff

Schedules for the front desk

Reception and traffic staff still share a paper schedule for the week.

Time off becomes “we’ll figure it out later.”

Each person’s days off left and the list of requests waiting for approval stay up to date.

Approved hours, ready for payroll

TimeOff Manager tracks hours. It doesn’t pay anyone. At the end of the pay period, a manager reviews and approves the hours. Then you download them as an Excel or CSV file and send it to whoever runs payroll: your bookkeeper, your accountant, or your payroll software.

  • Hours are approved first

A manager checks the hours before they go anywhere, so payroll gets real numbers, not guesses from a group text.

  • Overtime is flagged

Extra hours show up on the timesheet, so you can see overtime before you pay it.

  • Excel or CSV

One download your bookkeeper or payroll software can open.

  • Payroll happens elsewhere

TimeOff Manager does not calculate pay, print checks, or file taxes.

A typical day

  1. 1

    Staff arrive at the studio

Hourly staff clock in on their phone.

  2. 2

    A time-off request comes in

Someone needs Thursday off. The request waits for an approval, not an emoji reaction in Slack.

  3. 3

    Check the calendar at midday

Check who is out before you promise a client review. If people are working off site, the live map is separate from the GPS location saved when they clock in.

  4. 4

    Send hours on Friday

Download the hours. Client billing stays in the tool you use for retainers.

This is not client billing software

TimeOff Manager does not bill retainers, track time by job number, or replace your project management tool. It tracks staff time off, clock-ins, and hours you can download for payroll.
